Privacy policy — Parents and guardians

Who we are
SOS Educ is a management platform designed for childcare services. We act as a technical service provider for the workplace where your child is enrolled. That workplace is responsible for your personal information and your child's; our role is to ensure the security and proper functioning of the tools it uses.
Information we collect
The workplace records the following in the platform: your contact details; your child's identity; your child's other parents or guardians; their emergency contacts; their allergies and the instructions to follow in case of a reaction; the daily log entered by staff; the terms of the childcare contract and the documents attached to it, such as agreements, authorizations or supporting documents; profile photos of your child and of you, if added; and, if the workplace requires it, your national identification number. When the workplace invites you to the platform, the invitation is sent to you by email. Comments exchanged on a daily log, with their attached photos and documents, are kept with that log. If you use the help center, your tickets, suggestions and comments, with their attached photos and documents, are kept by SOS Educ; a suggestion and its comments are visible to all users, whereas a ticket is visible only to its author, the workplace's administrators and the SOS Educ team.
Sensitive information
Your child's allergies and medical instructions are sensitive information. Staff enter them directly in the platform, and the workplace is responsible for obtaining your consent before doing so. Some documents attached to the contract also contain sensitive information, such as an authorization to administer medication or proof of your financial situation. Only staff with access to the contract and the child's parents can view them. Your national identification number, when required, is entered by the workplace and encrypted (AES-256-GCM). It is always shown masked, including to you. Only the workplace's administrators can display it in full, and each such display is recorded in our logs.
Why we collect it
This information allows the workplace to ensure your child's daily safety, particularly in case of allergy or emergency, to keep you informed about their day, to administer the childcare contract and, where required, to process requests related to government programs. None of this information is sold, or used or shared for marketing purposes.
Who has access
Your child's record can be accessed by the workplace's staff, according to the permissions set by its manager, and by the other parents or guardians the workplace has linked to your child. These parents and guardians can see the contact details of the child's other guardians and emergency contacts. SOS Educ accesses this data only for maintenance, technical support or legal obligations, and this access is limited to a small number of people. No other workplace has access to your child's record.
Where data is hosted
The platform's database and files are hosted in Canada (Microsoft Azure, Canada Central region). Account sign-in is provided by Microsoft Entra ID, which stores your name and email in its North America geography, which may include datacenters in the United States. Invitations, sign-in codes, daily logs sent by staff and other platform notices reach you by email, sent through Azure Communication Services, whose data is stored in Canada. If you turn on notifications on a device, they are encrypted and then delivered through your browser's notification service (for example Google, Apple or Mozilla), which may be located outside Canada; we keep the device's subscription address and browser type until you turn them off or sign out. A notification may show your child's first name. When your childcare staff enter your address, the text they type is sent to Google Maps Platform, outside Canada, solely to suggest addresses. To allow offline use, the daily log, the list of the workplace's children and their information may be kept temporarily in the browser of the device being used; they are erased on sign-out.
How long we keep it
Your information and your child's are kept for as long as the workplace keeps them in the platform. When enrollment ends, the workplace archives the record and decides how long to keep it, according to its own legal obligations. If you close your account, your access to the platform ends; the information the workplace holds in your child's record nonetheless remains under its responsibility. A daily log received by email stays in your inbox: it is outside the platform, and a deletion in SOS Educ does not reach it. We also keep a record of the messages sent to you, with your address encrypted, for as long as the workplace's account exists.
Your rights
You may access the information about you and your child, request its correction, request its deletion within the limits set by law, and withdraw a consent you have given. Send these requests to the workplace; it may forward them to SOS Educ when technical action is needed. If you believe your rights have not been respected, you may file a complaint with the Commission d'accès à l'information du Québec.
Security
SOS Educ protects your information through encryption of communications and data at rest, additional encryption (AES-256-GCM) of your national identification number and contact details, role-based access control, and a history of changes made to records. In the event of a confidentiality incident presenting a risk of serious harm, you will be notified as required by law.
Contact us
For any question about your information or your child's, please contact the workplace first. For questions about SOS Educ's technical measures, contact our privacy officer, Samuel Anctil-Laroche, at confidentialite@soseduc.ca.
