Administrator colleagues

Who we are

SOS Educ is the management platform used by the workplace that employs you. Your employer is responsible for your personal information in the platform; we act as a technical service provider and do not use your data for our own purposes.

Information we collect

The platform keeps your contact details, your profile photo if one is added, your position and role, as well as the changes you make to records and the records you view. As an administrator, you have access to children's and parents' records, to contracts (including their pricing terms and the documents attached to them, some of which contain sensitive information) and to the workplace's subscription. You can also edit these records, invite or remove colleagues and parents, and manage their roles.

Sensitive information

Some information about children, such as allergies and medical instructions, is sensitive, as are some documents attached to contracts. You can display parents' national identification numbers in full; each display is recorded in our logs. Access it only as part of your duties.

Why we collect it

Your data is used to give you access to the tools you need, to manage your access according to your role, and to keep a history of actions. This history lets the workplace guarantee the integrity of its records, and it also protects you in case of dispute.

Who has access

Staff members of your workplace can see your profile and the history of changes you have made. SOS Educ accesses your data only for maintenance or support, and this access is limited to a small number of people. You only have access to your own workplace's data.

Where data is hosted

The database and files are hosted in Canada (Microsoft Azure, Canada Central). Sign-in is provided by Microsoft Entra ID, which stores your name and email in its North America geography, which may include datacenters in the United States. Your invitation, your sign-in codes and platform notices reach you by email, sent through Azure Communication Services, whose data is stored in Canada. A daily log you send goes to the child's parents by email and then stays in their inbox. If you turn on notifications on a device, they are encrypted and then delivered through your browser's notification service (for example Google, Apple or Mozilla), which may be located outside Canada; we keep the device's subscription address and browser type until you turn them off or sign out. When you enter an address, the text you type is sent to Google Maps Platform to suggest addresses; this service is processed outside Canada, including in the United States. For offline use, the daily log, the list of the workplace's children and their information may be kept temporarily in your device's browser; they are erased when you sign out. Lock your device and sign out on a shared device.

How long we keep it

Your profile is kept for as long as you are part of the workplace. When you leave, the owner or another administrator archives your profile or removes your role, which ends your access. The history of actions associated with your account is kept for as long as the workplace's account exists.

Your rights

You may access your personal information, request its correction, and file a complaint with the Commission d'accès à l'information du Québec if you believe your rights have not been respected. The workplace's owner is responsible for the information of families and employees; for any question about your employee record, please contact them first.

Security

Access is controlled by role. Changes are timestamped and recorded, as is the opening of children's, parents', colleagues', contracts' and groups' records. When the owner changes your role or archives your profile, your access is adjusted immediately.

Contact us

For any question about your information, please contact the workplace's owner first. For questions about SOS Educ's security measures, or to exercise your rights directly with us, contact our privacy officer, Samuel Anctil-Laroche, at confidentialite@soseduc.ca.
